The main job

Upload the newsletter once a month. All other updates are optional, and much of the site manages itself. Regular events such as the Friday coffee only need entering once, finished events drop off the listings, and the home page notice is removed after its end date.

Logging in

Go to brookwood.org.uk/admin and press Login. Sign in with Google, Microsoft, or the email and password you chose when you accepted your invite. The types of content are listed on the left: Events, News, Newsletters, Home page notice, Clubs and groups, and Local links.

Forgotten your password? Press Forgot password? on the sign-in page and a reset link comes by email.

Add the newsletter

  1. Choose Newsletters, then New Newsletter issue.
  2. Type the month as a number (11 for November) and the year.
  3. Under PDF, choose Choose a file and upload the PDF.
  4. Press Publish. It appears on the site within a couple of minutes.

Add an event

  1. Choose Events, then New Event.
  2. Fill in the title, when it starts (and ends, if you know), the venue and a short description.
  3. For a weekly event, set Repeats to Every week. It then only needs entering once.
  4. For a deadline rather than an event, turn on All day.
  5. Press Publish.

If you don’t know the address, just leave it blank and the venue name will show on its own.

Post some news

  1. Choose News, then New News post.
  2. Write a headline, pick a category and add a short summary, which is what appears on the home page.
  3. Write the story. The buttons above the text add bold, links, headings and lists.
  4. Add a photo if you have one, and describe what it shows in Photo description.
  5. Press Publish.

Change the home page notice

The green panel at the top of the home page is for important news, such as a vote, a big event or a Six Nations win.

  1. Choose Home page notice, then open the current one or press New Notice.
  2. Fill in the headline, a short paragraph, and the button’s wording and link.
  3. Set Show until. The notice is removed after that date.
  4. Press Publish.

Describing photos

Every photo needs a short description, for people who use a screen reader or can’t load the image. A photo won’t appear on the site until it has one.

  • Say what the photo shows, in a sentence: “Volunteers planting bulbs in the station garden”.
  • Leave out “Photo of” or “Image of”. Screen readers already say it’s a picture.
  • Don’t name people unless they’re happy to be named.
  • If the photo has words in it, like a poster, include the important ones.

Update a club

Choose Clubs and groups, open the club, change what’s needed and press Publish. If a club stops, set its status to Not currently running, or delete it.

Organisers’ names and phone numbers aren’t shown on the site. People contact clubs through a form, which comes to the community inbox.

When someone sends something in

Forms on the site let residents send in events and news, and contact clubs. Each one arrives as an email at community@brookwood.org.uk, so every editor on that list receives it.

  • Press Reply to answer the person who sent it.
  • To put it on the site, copy the details into a new Event or News post.
  • Let the other editors know you’re dealing with it, so it isn’t done twice.

Spam is filtered out before it reaches the inbox.

If something goes wrong

Every change is saved, so mistakes can always be undone. If you get stuck, email community@brookwood.org.uk.
